    The role

    MAIN DUTIES AND RESPONSIBILITIES

    Supporting administration staff/partners in preparing bills. It involves:

    • Setting up the VAT rate accordingly
      • Calculations to get the amounts requested
      • Setting up correct billing address of the recipient and other details that will show on the face of the finalized invoice
      • Including/excluding/splitting/transferring/writing off specific entries as per the instructions (i.e. time recorded by fee earners and costs incurred by firm)
    • Minor amendments to the finalized invoices and sending a new copy to the requester (adding details such as purchase order number, reference number, payable by line etc.)
    • Internal allocations of time across fee earners within specific invoices to ensure the recovery rate for all fee earners involved is the same (i.e. doing calculations on the basis of various constants and then issuing an internal zero invoice to impact the final billing figures in the system)
    • Internal offsets of entries against the advance invoices (i.e. internal zero invoice to clear the advance fee)
    • Supporting Junior Accountants in daily tasks and development
    • Being delegated to at least 2 tasks (i.e. monthly credit note reports, soft cost disbursements posting, write-offs reports etc.)
    • Seeking opportunities for process improvements and applying improvements
    • Issuing credit notes and writing off invoices
    • Posting soft cost disbursements to the system on a daily basis (expenses incurred by firm to be passed onto the clients)
    • Running billing reports relating to time billed/unbilled, finalized invoices, transfers etc.
    • Responding to various billing and VAT queries on a daily basis
    • Co-operation with other GSC teams when completing the task requires involvement of at least two teams
    • Assisting with other ad-hoc tasks assigned by the Team Leader
    • Ensuring all relevant firm's standards and guidelines are met

    ABOUT YOU

    • Very good English skills required, other languages will be a strong asset
    • Experience in finance, preferable in the billing area in the shared service or BPO environment as a strong asset, but not required
    • University degree (preferable in accounting) or students/graduates able to work full time
    • Ability to interact appropriately and effectively with customers (customer focus, expectations management skills)
    • Ability to work in international diversified professional environment
    • Willingness to learn new systems and tools supporting the daily work
